BMW- Warranty Admin.

As a Warranty Administrator  with BMW of Fairfield, you are responsible for processing warranty claims, auditing and correcting claim information and managing the warranty claim process. We are looking for an experienced Warranty Admin to join the team! Managing and supporting the Service Manager as well as providing administrative support to the Service department; at all times providing an exceptional customer experience while creating client relationships and contributing to the dealership’s goals.

  • Punctual and regular attendance.

  • Update daily documents for Service Manager.

  • Process warranty claims by preparing, recording, reconciling and submitting claims to the factory and third party distributors.

  • Follow-up with the factory and distributors regarding unpaid claims.

  • Audit and correct claim information to be accurate for claim processing.

  • Manage CPO corrections and coverage checks.

  • Conducting daily Pre-Writes, printing out warranty information, checking on parts status etc.

  • Assist the Service Drive with shuttle rides and other duties as needed

  • PO Creation, scanning, and clerical work for SM and GM 

  • Assist with TSD Rental agreements as needed

  • Utilize Xtime to send follow up CSI Text messages after visit

  • Make arrangements as needed with outside vendors.

  • Ability to provide an excellent customer experience via phone and written communication.

  • Follow direction from Service Management and assist when necessary.

  • Maintain a professional appearance.

  • Coordinate with insurance companies and clients when loaner vehicles are damaged.

  • Perform other duties as may be assigned by management.

Education, Experience and Certification

  • High School Diploma or equivalent work experience.

  • Basic accounting knowledge

  • Previous experience with warranty claims is preferred.

  • The ability to work independently with limited supervision and the motivation to continually increase product knowledge should be evident.

  • Must possess and maintain a valid driver’s license.

  • Must possess and maintain an acceptable Motor Vehicle Record (MVR).

  • Ability to drive manual transmission vehicles.

  • Visual acuity to see details of objects that are less than a few feet away.   Requires extended screen time, including reading and entering information on multiple computer screens.

  • Must be able to sit or stand in a stationary position for extended periods of time.  

  • Must be able to climb into and out of cars numerous times each day.

  • Requires frequent reaching, bending, repetitive hand movements, twisting, standing, walking, sitting, squatting, pushing, and pulling exerted regularly throughout a regular work shift.

  • Requires frequent lifting and carrying items weighing up to 50 pounds unassisted.

Work Environment

  • This position operates in a professional dealership environment.

  • Evening and Saturday work will be required as job duties demand.  Scheduled shifts will be determined by the manager, with rotating shifts throughout the workweek.

  • Must maintain a clean, safe working environment at all times.

  • Must perform duties in all weather conditions.
